Coordinating Your Wedding from Start to Finish

For those brides and grooms who require assistance with every aspect of their special day, from the smallest detail to the most opulent requirement, The Event Company can give you peace of mind and make your dream wedding a reality. We are proud to offer the following services to Giddings, Texas and the surrounding area. For weddings that are mostly planned but need a little extra help to be perfect, check out our smaller packages.


Package Details

Both the complete wedding day management package and complete wedding reception design and management package include professionals assigned to take care of your wedding, from the first steps to the day of the event. Your wedding day should be a day of celebration, therefore we will take care of all the details so you can cherish your special day. The package also includes travel expenses within the area, however it does not include rentals from The Event Company or floral design.

Complete Wedding Design & Management Package

Preparation

• Initial bridal consultation
• Budget evaluation and composition
• Timeline construction and evaluation for planning and day-of
• Review Price, capacity and availability evaluation of all wedding ceremony and reception sites with client
• Assist in, price, service and availability evaluations of all below, to include but not limited to: 
• Caterer
• Florist
• Photographer/Videographer
• Bride and Groom Cakes
• Ceremony Music
• Reception band/DJ
• Decor Rental
•Coordinator will match styles and budget, check availability, schedule appointments, after meeting. They will not be in attendance during the meeting.
• Delivery and/or confirmation of all vendor payments, initial deposits and final payments
• Evaluation, construction and break down of all sites
• Menu evaluations and consultations for wedding reception
• Hotel accommodations under group code or group travel arrangements
• Collection of personal items prior to wedding day.
• Full coordination of ceremony rehearsal, wedding ceremony and reception

• Overview of Guest Seating and Usher Instructions
• Coordination of Wedding Party (Processional, recessional, and wedding party location at ceremony)
• Timing and Cues with Officiate and DJ/Organist
• Time Lines for All Involved for Wedding Day
• Up to 5 hours of Ceremony and Reception Decoration

Wedding Day

• Acceptance of all Vendors at Reception Location
• Picking up Last Minute Items (rented equipment, lunch for wedding party, etc)
• Coordination of all Flowers for Ceremony & Reception
• Up to 5 Hours of Reception Set up
• Coordination of Bridal Party
• Coordination with Reception Coordinator (food services, cake cutting, first dance, exit, etc)
• Reception Clean Up (may require additional staff based on reception decor and capacity)

The Event Company Full Service Wedding Package is geared toward the bride who wants that full service assistance planning her wedding, but needs a little more wiggle room in her budget or a more flexible meeting schedule. The Event Company team will work with you to schedule everything according to personal style and budget, but will not physically attend all vendor appointments until the final meeting time. This package includes 3 team members

Package Fee

Our complete wedding day management package is $2,500. This package also includes four staff members who will do anything that needs to be done. Additional staff may be necessary at additional fee depending on decor requirements and size of wedding reception.


Wedding Decorations

Month-of Wedding Management Package

The Month-Of Wedding Management package includes The Event Company professionals assigned finalize month of  wedding planning and event execution at your wedding ceremony & reception.

Preparation

• Unlimited meetings, emails, phone calls to prepare.
• Month of wedding emails to coordinate vendors. Cc on all communication
• Full wedding weekend time line to be distributed to all vendors and wedding party if applicable
• Diagrams of reception layout, if applicable
• Communication and meetings with vendors to confirm details, caterer, photographer, entertainment, florist, venue.
• Collection of personal items prior to wedding day set up.

Rehearsal Day

• Up to 2 Hours of decoration at reception site if allowed, (up to coordinator’s discretion to add more time)
• Coordination of Wedding Party (processional, recessional, wedding party location at ceremony)
• Timing and Cues with Officiate and Music Provider
• Meeting Locations and Times for all Wedding Party
• Time Lines for all Involved for Wedding Day

Wedding Day

• Acceptance of all Vendors (coordination and confirmation 2 weeks prior)
• Coordinating or picking up Additional/Last Minute Items (rented equipment, additional alcohol, lunch for wedding party, etc)
• Coordination of all Flowers with Corresponding Attendant and Family Member
• Coordination of Bridal Party
• Coordination with Reception Coordinator (food services, cake cutting, first dance, exit, etc)
• Assist with Final Clean Up of Reception Facility After Guests Depart*
*additional staff for break down and setup may be required

Our Month of Package is geared toward our brides who have the basics of wedding planning and vendor booking under control, but are looking for professional assistance toward the end of the planning tying together the remaining details and controlling the wedding weekend with well-constructed time lines, diagrams, vendor communication and seamless event execution.

Package Fee

The day-of reception management package is $1,500. This fee includes two staff members, ready to do whatever you need them to do. More staff may be required at an extra fee depending on the size of your execution and design requirements.


Crunch Time Coordinator

The crunch time coordinator package is designed specifically for couples in need of someone to be their go-to person on the day of their wedding. Starting about two to three months prior to your wedding day, we meet for an event consultation to gather information and discuss the timeline, important contacts, checklists, and other critical details. Then we will execute these items on the day of your wedding so you can relax and enjoy the whole experience. This service includes:

Playing Harp
On-Site Meeting at the Ceremony & Reception Venues.
Confirmation of All Vendors Two Weeks Prior to the Wedding Date to Coordinate Arrivals.
Attend & Assist with Rehearsals up to Two Hours If Needed.
Eight Hours of Coordination on the Day of the Wedding to Ensure Vendors Arrive & Assist with Details.
Prepare & Bring an "Emergency Wedding Kit" to Mitigate Any Potential Issues.
Manage Checklists & Timeline to Make Sure All Events Go Smoothly.
Queue All Major Activities on the Wedding Day & Address Any Questions or Issues That May Occur.

Package Fee

The crunch time coordinator costs $900. This price includes one to two staff members to aid her in serving you. Additional staff may be necessary depending on the size of your wedding.

Additional Staff

Depending on the design and staffing needs required for your wedding, The Event Company will need additional team members to design your dream wedding. The fee for additional coordinators is $175.00 per every 100 guests.
